Active Faith Ltd respects the privacy of all our people including employees, volunteers, donors, fundraisers, charity partners and users of our website, and is committed to safeguarding the personal information that is provided to us.
Active Faith Ltd will endeavour to handle your personal information in accordance with this Privacy Policy and privacy laws applicable to Active Faith Ltd.
PURPOSE
The purpose of this Privacy Policy is to:
- clearly communicate the personal information handling practices of Active Faith Ltd;
- enhance the transparency of our operations; and
- give individuals a better and more complete understanding of the sort of personal information that Active Faith Ltd holds, and the way we handle that information

This Privacy Policy does not apply to acts or practices which directly relate to employee records of Active Faith’s current and former employees.
WHAT IS PERSONAL INFORMATION?

Active Faith Ltd collects personal information from people who are connected to its operations and activities – including officers, employees, volunteers, donors and fundraisers, clients and beneficiaries, charity and business partners, sponsors, suppliers, contractors and service providers.
WHY DOES ACTIVE FAITH LTD COLLECT YOUR PERSONAL INFORMATION?
The primary purpose for collecting information from you is to carry out our charitable purpose of relieving poverty, suffering, hunger and distress to children. For that purpose, Active Faith Ltd may collect your personal and sensitive information for a number of reasons, including:
- Planning our programs, activities and operations;
- Informing, marketing and promotion: to communicate with you about programs, donations, services, campaigns, causes and events;
- Support services: to provide you with information and support in relation to fundraising events and other assistance we may provide to you, and to evaluate and report on these services;
- Volunteering and other support: to enable you to assist us with volunteering, community fundraising, advocacy and other activities where we seek the community’s assistance;
- Monitoring and evaluation of programs, donations, campaigns, causes and events and support services;
- Collecting donations and issuing receipts;
- Analysing Website usage and make improvements to the Website; and
- Other purposes such as to verify your identity and to comply with relevant laws.
HOW DOES ACTIVE FAITH LTD COLLECT YOUR PERSONAL INFORMATION?
Where possible, Active Faith Ltd will collect your personal information directly from you. This may be in person (for example, where you are a donor, host a fundraising event or attend an event), on the telephone (for example, if you contact us about making a donation or hosting an event), by mail (for example, if you complete a survey) or online (for example, if you make a donation or sign up for an event via our Website).
We also obtain personal information from third parties such as our charity and business partners and sponsors, community groups, governments, contractors (including fundraising service providers), list vendors, health professionals, social and community workers. If we collect information about you from a third party and it is unclear that you have consented to the disclosure of your personal information to Active Faith Ltd, we will take reasonable steps to contact you and ensure that you are aware of the purposes for which we collect your personal information.
HEALTH INFORMATION
In carrying out its activities, Active Faith Ltd may collect health information. For example, we may collect health information (such as medical history) about children participating in our programs from their parents or guardians. We will only collect health information if it is necessary for the nature of our interaction with you, and you have specifically consented to the collection of that information. We will explain how this information will be used and disclosed.
If health information is collected from a third party (such as your doctor), we will inform you that this information has been collected and will explain how this information will be used and disclosed.
Active Faith Ltd will not use health information beyond the consent provided by you, unless your further consent is obtained, or a legal exception applies or in compliance with another law. If we use your health information for research or statistical purposes, it will be de-identified if practicable to do so.
WHAT HAPPENS IF YOU DON’T PROVIDE ALL THIS INFORMATION?
You are free to provide (or not provide) any information you choose. However, if you do not provide some or all of the information requested, we may not be able to offer you assistance or services or provide you with information about our causes, events, programs and projects.
If you would like to seek assistance or services or otherwise work with us on an anonymous basis or using a pseudonym, please tell us. If this is possible and lawful, we will take all reasonable steps to comply with your request. However, we may not be able to provide the required assistance or services if we are not provided with the personal information requested.
WEBSITE USAGE INFORMATION AND COOKIES
When you access our Website, we may collect personal information and non-personal information. We may use software embedded in our Website (such as Javascript) and we may place small data files (or cookies) on your computer or other device to collect information about which pages you view and how you reach them, what you do when you visit a page, the length of time you remain on the page, and how we perform in providing content to you. Our website

OPTING OUT OF DIRECT MARKETING COMMUNICATIONS

HOW WILL YOUR PERSONAL INFORMATION BE USED AND DISCLOSED?
We only use personal information for the purposes for which it was given to us, or for purposes which are related to one of our functions or activities.
We may disclose your personal information to others in order to carry out our functions and activities. Those others may include:
- Our charity and business partners;
- Government departments/agencies who provide funding for our programs;
- Contractors who manage some of our programs or the services we offer to you. Active Faith Ltd will take steps to ensure contractors comply with this Privacy Policy and the privacy laws applicable to them when they handle personal information;
- Regulatory bodies, such as WorkSafe;
- Referees and former employers of Active Faith Ltd’s employees and volunteers, and candidates for employee and volunteer positions at Active Faith Ltd; and
- Our professional advisors, including our accountants, auditors and lawyers.
Except as set out above, Active Faith Ltd will not disclose your personal information to a third party unless one of the following applies:
- You have consented;
- You would reasonably expect us to use or give that information for another purpose related to the purpose for which it was collected (or in the case of sensitive information – directly related to the purpose for which it was collected);
- it is otherwise required or authorised by law;
- it will prevent or lessen a serious threat to somebody’s life, health or safety or to public health or safety;
- it is reasonably necessary for us to take appropriate action in relation to suspected unlawful activity, or misconduct of a serious nature that relates to our functions or activities;
- it is reasonably necessary to assist in locating a missing person;
- it is reasonably necessary to establish, exercise or defend a claim at law;
- it is reasonably necessary for a confidential dispute resolution process;
- it is necessary to provide a health service;
- it is necessary for the management, funding or monitoring of a health service relevant to public health or public safety;
- it is necessary for research or the compilation or analysis of statistics relevant to public health or public safety; or
- it is reasonably necessary for the enforcement of a law conducted by an enforcement body.
We do not usually send personal information out of Australia. If we are otherwise required to send information overseas we will take measures to protect your personal information. We will protect your personal information either by ensuring that the country of destination has similar protections in relation to privacy or that we enter into contractual arrangements with the recipient of your personal information that safeguards your privacy.
WHERE IS YOUR PERSONAL INFORMATION STORED?
Active Faith Ltd takes reasonable steps to protect the personal and sensitive information we hold against misuse, interference, loss, unauthorised access, modification and disclosure.
These steps include:
- storing personal information on a password protected electronic database, which may be an Active Faith Ltd database, a database maintained by a cloud hosting service provider or other third party database storage or server provider;
- Writing backups of electronic information to tapes which are stored with a third party provider of secure archiving services;
- Storing data on archived tapes that will not be altered or destroyed except in extraordinary circumstances; and
- Storing hard copy information in our offices, which are secured to prevent entry by unauthorised people, or with a third party for specific purposes, for example at a mailing house or for data entry.
Any personal information not actively being used is archived, usually for 7 years, with a third party provider of secure archiving services.
Where personal information is stored with a third party, we have arrangements which require those third parties to maintain the security of the information. We take reasonable steps to protect the privacy and security of that information, but we are not liable for any unauthorised access or use of that information.
Your personal information will stay on the database indefinitely until you advise you would like it removed, unless we de-identify it or destroy it earlier in accordance with any applicable privacy law requirements or our records disposal policies and procedures.
Your personal information may be stored simultaneously in more than one database or location.
We comply with the Payment Card Industry standards when handling payment card transactions. This means that we handle payment card information extremely securely while transactions are made, and do not retain payment card details afterwards.
YOUR DIRECT DEBIT OR CREDIT CARDS
We use Secure Socket Layer (SSL) certificates which is the industry standard for encrypting your credit card and debit card numbers, your name and address so that it cannot be viewed by any third party over the internet. Your financial information is encrypted on our servers and access to this information is restricted to authorised Active Faith Ltd staff only.
ACCESS TO AND CORRECTION OF YOUR PERSONAL INFORMATION
Active Faith Ltd will, upon your request, provide you with access to your personal information that is held by us or change that personal information, unless we consider that there is a sound reason under applicable privacy laws or other relevant law to withhold the information or not make the changes. For security reasons, you will be required to put your request in writing and provide proof of your identity. This is necessary to ensure that personal information is provided only to the correct persons and that the privacy of others is not undermined.
It will be assumed (unless the request states otherwise) that the request relates to current records. These current records will include personal information which is included in our databases and in paper files, and which may be used on a day to day basis.
We will provide access by allowing you to inspect, take notes or print outs of personal information that we hold about you. If personal information (for example, your name and address details) is duplicated across different databases, we will generally provide one printout of this information, rather than multiple printouts.
We will take all reasonable steps to deal with your request to provide access to your personal information within 30 days and you agree we may charge you our reasonable costs incurred in supplying you with access to your personal information.
If you are able to establish that personal information we hold about you is not accurate, complete or up to date, we will take reasonable steps to correct our records.
We will deny access to personal information if:
- the request does not relate to the personal information of the person making the request;
- providing access would pose a serious threat to the life, safety or health of any person or to public health or public safety;
- access would have an unreasonable impact on the privacy of others;
- the request is frivolous or vexatious;
- denying access is required or authorised by law or a court or tribunal order;
- access would be unlawful;
- the request relates to existing or anticipated legal proceedings;
- access would prejudice negotiations with the person making the request;
- access may disclose a commercially sensitive decision-making process or information;
- access may prejudice an action in relation to suspected unlawful activity or serious misconduct relating to the activities or functions of Active Faith Ltd; or
- any other reason that is available under applicable privacy laws.
If we deny access to information, we will set our reasons for denying access.
